We will be discussing:

  • The operation of gates, call boxes, and accessing the gates via the RFID tags, CellGate app, and four-digit code.
  • The RFID tags – each household will receive up to three “3” RFID tags initially at no cost to the residents, and if residents want additional RFID tags there will be a cost of $25.00 per tag, with a maximum of 5 to be purchased.
  • The RFID tag distribution schedule

The plan is to distribute the RFID tags the week of October 6th, 2025, and October 13th, 2025, so we can hopefully go “live” the week of October 20th, 2025.

Annual Election for HOA Directors and Golf Villa and Townhouse Committees

The HOA Board of Directors is made up of five members. This year three seats are up for election. While the TH and GV Committees have one seat each up for election.

Both Directors and Committee members serve two-year terms with no term limits. All candidates must be in good standing with all association dues paid up to date. 

Candidate forms will be mailed to residents on October 17th and must be received back to First Service by November 12th. 

There will be an opportunity for candidates to address the residents before the November Board meeting. Each candidate will have 2 minutes to speak. 

Online voting will be conducted through Election Buddy. The exact dates for online voting will be announced closer to the election. Election results are final as of December 17th, when the new directors will be seated and committee members announced.

Reminders

Please note that residents must have an Architectural Request Form submitted and approved before any exterior work is done. This includes, but is not limited to: patio, deck, painting, and landscaping. If in doubt submit an Architectural Form.

Halloween decorations may go up on October 1st. They must be removed within 14 days after Halloween. This does not include pumpkins, gourds, or mums which are fall decor.

New Gates and Call Boxes Are Coming to HWCC
A priority of the HOA this year was to enhance our community's security and convenience by having functional gates at all entrances and exits and updated call boxes. The HOA recently reconvened the Gate Advisory Commission to help the Board consider new gates and call boxes.
The Commission and HOA BOARD interviewed two vendors for gate systems and call boxes. After careful consideration, they unanimously agreed to recommend ECI for the gates and CellGate for the call boxes.On April 30th the HOA Board approved new gates and callboxes. Barrier gates will replace the iron gates at Gilmer and Fairfield roads. The iron gates were aesthetically pleasing but impractical because they were so heavy. The existing gates will remain at North and South Tournament Drive and Briar Creek. Gates at Gilmer and Briar Creek will be closed 24/7, while North and South Tournament Drive and Fairfield gates will be open from 5:00 am to 7:00 pm to accommodate construction traffic. Once construction has been completed, all gates will be closed 24/7.
The new gate system will use RFID windshield readers, which will automatically open any HWCC gates, providing a seamless entry and exit experience. The HOA Board is determining whether each home will receive 2 or 3 windshield readers at no cost. Residents will have the option to purchase additional RFID readers at a cost to be determined. Non-resident social/golf members will also purchase their RFID readers at a cost to be determined.Call boxes will be at all gates except Briar Creek – that median is too narrow for a call box. The new call boxes will have more capacity and allow multiple family members to be listed. They will have photo, streaming video, and voice features and allow residents to open all HWCC gates remotely. The Master's Reserve will cover the cost of this expenditure of approximately $150,000. This was a budgeted Reserve expense for 2025.
More information will be forthcoming regarding the installation of the new gates, the RFID readers, and call boxes. We hope to complete the installation by the end of summer. Karen Balinski, the Regional Director for Hawthorn Woods HOA, will provide regular updates on the progress of this project.
The Village and the HOA are currently in discussions regarding the potential takeover of the HWCC roads. Before making any decision, the HOA would present all the pros and cons of turning the roads over and then ask for the residents' thoughts. Even if the roads become public, Gilmer, Briar Creek, and Fairfield gates would remain closed 24/7. However, the North and South Tournament Drive gates would remain open 24/7.Watch for emails and updated information at www.hwcchoa.com.
MI Homes UpdateHWCC is thrilled to see our community grow with the addition of new neighbors. M/I Homes has successfully closed on 72 homes, and 23 more are under contract. By summer, all the homes on Tournament Drive East, Glen Club Court, Crystal Downs, and Oakland Hills will have been welcomed into our community. In addition, nine homes are currently being built and will soon be available for purchase as "Quick Move-Ins". Four are located at 18, 26, 27, and 29 Open Parkway North. Additional "Quick Move-Ins" include 80 Tournament Drive North, 4 and 7 Olympia Fields, 3 Prairie Landing, and 19 Hawthorn Ridge Drive. These new homes will allow the HOA to build the Master Reserves, which are used for asphalt pavement, concrete curbs, gutters, sidewalks, landscaping, wetlands, irrigation systems, retaining walls, and much more.Our new townhomes on Harborside Way, Tournament Drive North, and Red Tail will offer a variety of features to suit different lifestyles. Three on Harborside Way will have walkouts, three on Tournament Drive North will have lookouts, and several townhomes will have porch extensions. Two of the models will have two bedrooms, while one model will have the capability for three bedrooms, providing a range of options for our residents.

With the additional assessments from these homes, the HOA will be able to build the Townhouse Reserves, which will be used for roofs, gutters, concrete flatwork, masonry, and decks.

A Message from Our President

On behalf of the HWCC Board of Directors,

Welcome to the Hawthorn Woods Country Club Community Website. 

Whether you are a new member of the HWCC community or a long-time resident, we hope that you are enjoying all the amenities of county-club living; i.e., organized social activities, tranquil walking paths, nearby nature preserves, a professionally-designed golf course along with golf, tennis and bocce leagues.  You can make memories at the holidays and special events for young and old.  Some fan favorites include the annual Easter Egg Hunt and Brunch, July 4th Fireworks, Ladies’ Night Out, Fishing Derby and Campouts, Burger Nights, and the wildly popular Santa Brunch.  If you are looking for a more low-key experience, you can just kick back at the clubhouse or patio firepits while meeting new friends.

The HWCC community takes pride in being a welcoming and caring neighborhood that fosters friendships, encourages participation, and supports one another.  We believe that successful communities are built on communication, and the HOA Board of Directors is working to make that a primary goal.
